- Assign one person to track lodging, food, activities, and updates.

Example: a simple eight-week reunion plan
- Eight weeks out: offer two dates, name an RSVP contact, and ask about accessibility and travel needs.
- Four weeks out: confirm the place, head count, shared meal plan, and one person for each major task.
- One week out: send the final address, arrival time, parking details, and a rain plan in one message.
- The next day: share photos only with people who agreed to receive them and thank everyone who helped.
This sequence works for a backyard lunch or a larger multi-household gathering; adjust the lead time to fit your family.
